End User Computing Remediation

Organizations rely heavily on products such as Microsoft Excel, Word and Access to perform day to day tasks. In some cases, users have created solutions using these tools, which can be classified as End User Computing (EUC) solutions.

In this context, an EUC can be loosely defined as applications that are developed and maintained by users without the involvement of IT and mostly managed outside the purview of IT without the associated governance and controls. Many EUCs are created when IT is not available to meet a specific request either due to timelines, budgets, resources or other system constraints.

Many organizations are facing a proliferation of these types of EUCs for a while given the widespread use of these products and the relative ease by which complex data, calculation and reporting needs can be implemented. While there are different technologies used to develop EUC applications, the preferred tool for many is Microsoft Excel.Excel’s broad capabilities and ease of use makes it extremely powerful for non-programmers to build applications:

  • Rich UI capabilities for data entry, reporting (charts), analytics (pivots) and many other features
  • Easy implementation of complex formulas, references and calculations
  • Data storage - storing data in tables and cells without a defined schema
  • Multiple ways to integrate with data sources, references across workbooks, etc.
  • In addition to Excel’s capabilities, users have implemented processes around their Excel EUCs. For example sharing, distribution and workflow via email, export and copying data across EUCs and into systems, etc.

However, these EUC applications pose significant challenges to organizations especially when the EUC are not governed:

  • Reputational, financial and operational risk
  • Uninformed business decision making process
  • Lack of governance and controls
  • Addressing internal/external audit is extremely challenging
  • Difficulty demonstrating regulatory compliance
  • Manual processes and reconciliations are error-prone and inefficient
  • Unnecessary costs due to manual nature of work

To minimize the associated risks, Virtusa helps organizations to address the following:

  • Identifying the EUCs and analyzing the complexity and risk related to each EUC
  • The complexity in understanding the current Excel functionality and building a replacement
  • Maximizing the benefits from EUC elimination by looking at the surrounding processes to eliminate manual processes
  • A holistic approach is needed to ensure a high quality solution is developed and maintained, especially to avoid the re-proliferation of new Excel EUCs if users face functional gaps
  • Building solutions that can be re-used, especially in cases where there are a significant number of EUCs to be remediated

Key Benefits

EUCs have been around for decades and will keep emerging and multiplying in the future. The key is to ensure that when EUCs are introduced, they can be governed and remediated quickly and effectively into the optimum target state solution.

By working with Virtusa, your organization can achieve a thorough and future-proof EUC strategy:

  • Ability to govern EUCs to meet regulatory, audit and other requirements
  • Understand the gaps in processes and in existing systems that create the need for EUCs
  • Accelerated remediation and replacement of EUCs based on priority
  • Solve EUC issues using best-fit solutions that will avoid re-proliferation, whether that is through data platforms, process optimization, or replacing each EUC
Capabilities and Approach

The goal of EUC remediation should be to focus on eliminating the need for EUCs and creating re-usable, holistic and flexible solutions that reduce the chances of EUC re-proliferation in the future.

In order to do this effectively and efficiently, an end-to-end and holistic methodology is required:

Scope and Plan

EUC Assessment and Roadmap team conducts kickoff key stakeholders and explains the process followed

  • Define Scope
  • Define critical success factors
  • Identify stakeholders
  • Kickoff

Discover

Inventory of EUC's, collect EUC application data through automated tools and manual surveys , interviews

  • Automated tool based discovery
  • Manual discovery
  • Surveys and interviews

Analyze

Analysis of each EUC to understand functionality and processes, technical complexity

  • Define analysis criteria
  • Tool based analysis/manual analysis
  • Capture EUC complexity (Virtusa Excel EUC Analyzer)
  • Process Mining to identify user interactions and surrounding processes

Assess / Disposition

Prioritize EUC remediation, define end state technologies and tools for each EUC based on Analysis

  • Prioritize
  • Define target state- Predefined design approaches
  • Select end state technoogy approach
  • Evaluate existing platforms for EUC elimination

Roadmap + Remediate

Plan and execute each transformation project, typically in multiple waves

  • Create roadmap
  • Remediate in multiple waves
  • Feedback loop
  • Accelerate developments (Virtusa Excel EUC Analyzer)

Govern

Ensure that the end state provides a meaningful solution to EUC needs and avoid the proliferation of more Excel baed EUCs

  • Ensure fit for users
  • Optimize processes over time
  • Avoid further proliferation of EUCs
  • Ensure data governance and management

As a part of the overall approach, Virtusa provides an Excel analyzer that can assess the complexity of an EUC and provide a detailed analysis of all of the functionality within the Excel. This can serve as the basis for defining requirements, design and test approaches for each EUC.

There are several approaches for remediating EUCs, with many technology options available.  The key is take a holistic view of the EUC population and choose an optimal approach instead of recreating EUC’s in a different technology platform.

In many cases, multiple approaches may be required. This will provide a cost-effective, long term solution that also addresses some of the root causes for EUC proliferation and not just the symptoms.

Manage

  • Manage existing EUCs using IT controlled solutions
  • Use of EUC management platforms that can provide inventory management and controls. E.g. Apparity, ClusterSeven

Replace

Low Code / No Code Platforms

  • IT to build replacement applications using LC-NC tools
  • Some examples: Appian, Xceptor, Unqork, Microsoft PowerApps, etc.

Custom Development

  • Build custom point solutions to replace EUCs
  • IT managed solutions
  • Numerous technologies exist and will typically follow organizational standards
  • Java + Microservices
  • Angular / React
  • RDBMS / ETL based data integration
  • Data visualization tools
  • Amongst many others...

Eliminate

Build into IT systems

  • Expand IT system capabilities to eliminate the need for the EUC
  • IT managed solutions

Eliminate through Data Platforms

  • Evaluate across EUC landscape for common data needs
  • Self service data platforms for reporting and data wrangling type EUCs
  • Data integration across systems to replace Excel based data transformation and transfer

The Role of Process Mining

  • Minimize manual processes related to the EUC and surrounding the EUC

  • Optimize processess around the EUC, potential for automated processing(removing the need for the EUC)

The Role of Process Mining and Data Platforms

  • Process mining will expose areas where EUCs can be eliminated through data integration or system extension

  • Potential to move data related reporting EUC functionality into a data platform
