When knowledge is abundant but hard to find

Imagine a project manager starting their week with three simultaneous deadlines, a growing list of dependencies, and a new compliance requirement they have never encountered before. The information they seek may exist—in a PDF, a certification guide, or buried deep in a knowledge portal—but finding it takes time they do not have.

This is a daily challenge for project management professionals. The challenge is not just managing schedules or budgets, but navigating a complex, growing web of standards, documentation, and tools to find credible, up-to-date guidance.

A global authority on project management had built a vast, trusted knowledge base to support them. However, as the library expanded, finding relevant information became harder. Managers spent hours searching for framework details, certification guidelines, and enrollment processes—without the aid of sophisticated search or navigation tools.

At the same time, business administrators who wanted to automate workflows were reliant on developers for support. There was no easy way for non-technical users to create, configure, or share AI agents—limiting the potential for community-led innovation and scalable automation.

The result: rising operational costs, suboptimal experiences and failed projects. According to industry research, for every $1 billion invested, organizations lose nearly $97 million to failed projects.

That’s when the organization turned to Virtusa to simplify and scale its content systems without adding complexity for users. The goal: enable anyone—even without technical expertise—to quickly find information, build task-specific tools, and act on insights through intelligent, business-user-led automation.

The AI assistant is transforming how work gets done—from speeding up project planning to making knowledge more accessible across geographies

Simplifying access, improving execution

Virtusa worked with the organization to reframe the challenge—not as a content issue, but as an access and personalization problem. Together, they built a no-code AI-powered assistant designed specifically for project professionals.

The first solution developed was a Learning Coach, surfaced as a chatbot on the organization’s most widely used course—engaging over 150,000 global users weekly. Initially built using Retrieval-Augmented Generation (RAG), the coach helped users find relevant content, enroll in courses and certifications and check accreditation eligibility. The 2.0 version introduced a Guided Experience powered by agentic AI—a capability that goes beyond RAG by automatically detecting, based on a user’s profile, provided information, and the questions they’re asking, what they would benefit from—whether it’s new learning, an assessment, or task-specific support.

This evolution marked a shift from content retrieval to intelligent, context-aware assistance. Built as a no-code AI platform, the assistant empowers business administrators to create task-specific AI agents without technical support. These agents can summarize documents, generate project charters, analyze risks, and more. Behind the scenes, Virtusa applied its engineering depth to build intuitive configuration tools that support citizen-led automation and scalable personalization.

Virtusa also helped the organization address a parallel challenge: localizing thousands of webinars for a global audience. The solution, a video translation platform, lets users upload content, select a language, and receive translated video, transcripts, and voiceovers—now used in over 10 countries.

From guidance to gains

The AI assistant is transforming how work gets done—from speeding up project planning to making knowledge more accessible across geographies.

Reliable answers are now available in seconds, improving user experience, reducing effort, and freeing up time for higher-value work. Tasks that once required extensive search or manual effort are now automated, helping users make faster decisions and reducing project risk as key insights surface earlier in the lifecycle.

With the introduction of the Guided Experience, the assistant now goes beyond answering questions—it detects user intent and context to recommend the most relevant next step. Whether a user needs to learn a new concept, validate their knowledge through assessments, or apply skills to real-world tasks, the system adapts dynamically.

The Guided Experience supports users in many ways—such as Learn (personalized learning modules), Test (customized assessments), and Do (task-specific tools like project charters and risk registers)—with more capabilities evolving as user needs grow.

For users ready to execute, the assistant provides access to task-specific tools—such as generating project charters, creating risk registers, or building project plans. These tools are available via subscription, unlocking new monetization streams for the organization.

With intelligent automation and seamless access to high-value content, teams now work smarter—with less manual effort, greater confidence, and more consistent project outcomes.

A platform for community-led AI

The project management leader needed a partner who could simplify complexity without compromising performance. Virtusa stood out for its deep engineering expertise, experience with enterprise AI systems, and a strong understanding of content architecture and user workflows. Beyond technology, Virtusa turned ambitious ideas into intuitive, user-centered solutions at scale.

Now evolving from assistant to platform, the solution is shaped by real user needs—with Virtusa playing a vital role in its evolution from RAG-based retrieval to agentic AI. A new AI Agent Store will let teams build, share, and reuse task-specific agents without developer support—enabling scalable, community-led innovation. It is a smarter, faster, and more collaborative way forward.
