Senior Consultant - Facilities & Sustainability ROW – PMO

Roles and Responsibilities

The prospective candidate assuming this role would report directly to the Head of Facilities & Sustainability for Americas, EME & APAC (ROW). The role entails supporting the ROW Head in the management of teams in 40 locations distributed over 26 countries. This involves tracking and reporting on all activities and projects under the purview of the ROW Head’s span of control to ensure on-time, to-requirement fulfillment of the same. Candidates would be expected to have had material experience in project management roles. The candidate would need to have the flexibility to travel for up to 6 weeks when required by project exigencies. The role is predominantly “in-office” but may have some hybrid capacity.

Weekly Regional Connect Meeting Management

  1. Manage all weekly regional connect meetings and produce MoM of ongoing activities.
  2. Follow up on ongoing ROW activities with regional leads and track to closure.
  3. Report weekly to ROW Head on activity tracking to ensure on-time delivery.

Maintenance of Heads-Up Views

  1. Manage Glass board view of ROW locations and initiatives.
  2. Work on creating Power BI views of all relevant ROW information in consultation with the ROW Head.

Setup Cost Projection

  1. Conduct research on regional rent cost projections using online resources produced by CBRE, C&W, Colliers, Knight Frank, Savills, and JLL.
  2. Conduct research on regional buildout costs using online resources produced by CBRE, C&W, Colliers, Knight Frank, Savills, and JLL.
  3. Assist the ROW Head in the creation of cost projection models in conjunction with the pricing team for RFPs.

Buildout Project Management

  1. Assist the ROW Head with project schedule creation and management of any builds in consultation with all regional leads.
  2. Assist in the conduct of project management meetings as required.
  3. Production of project status updates as required.

Access Control System Management Tracking

  1. Track project implementations with the Access Control Global Lead.
  2. Track submission of required access control reports with the Access Control Global Lead.

Lease Management

  1. Ensure that all lease copies are available and have been uploaded to a shared file in consultation with all regional leads.
  2. Maintain lease calendar for renewal/termination discussions in consultation with all regional leads.
  3. Set up Teams reminders for all lease trigger points and ensure the ROW Head and regional leads are alerted.
  4. Ensure on-time initiation of approval processes.
  5. Ensure ROW data in the monthly lease and seat report generated by the Global Facilities PMO is accurate.

Data Gathering Tracking

  1. Track submission of required ESG data with regional leads.
  2. Track submission of required compliance data with regional leads.

Budget Management/Procurement Tracking

  1. Track budget creation by ROW Budget Management/Procurement SPOC.
  2. Track report submission by ROW Budget Management/Procurement SPOC.

Compliance Management Tracking

  1. Track ROW internal audit calendar activation.
  2. Track internal report submission by ROW Compliance Head.
  3. Track the conduct of internal audits by the ROW Compliance Team.
  4. Track ROW compliance submissions to external audits.
  5. Track compliance management initiatives assigned by the ROW Head.

Presentation Management

  1. Produce individual presentations for regions in consultation with regional leads and the ROW Head for use in RFPs.
  2. Assist the Global Facilities PMO with any ROW slides required for Facilities & Sustainability presentations.
  3. Assist the ROW Facilities Head with the creation of presentations for submission to CXOs and senior leadership

Qualifications and Requirements

  • Bachelor’s degree in business administration, facilities management, sustainability, project management, or a related field.
  • Postgraduate diploma or master’s degree in a relevant discipline is preferred.
  • Minimum 6 years of experience in project management, facilities management, or sustainability roles, with exposure to global operations.
  • Proven experience managing cross-regional teams and projects across multiple countries.
  • Experience with lease management, cost projections, and buildout projects is highly desirable.
  • Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
  • Experience with Power BI and other data visualization tools.
  • Familiarity with online resources like CBRE, C&W, Colliers, Knight Frank, Savills, and JLL for market research.
  • Basic knowledge of access control systems and audit requirements.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills to liaise with regional leads and stakeholders.
  • High attention to detail and ability to track and report on various projects effectively.
  • Problem-solving mindset with a proactive approach to challenges.
  • Flexibility to travel for up to 6 weeks based on project needs.
  • Ability to work in a predominantly in-office role, with some hybrid work capacity if required.
  • Strong understanding of ESG compliance, budget management, and procurement processes.
  • Certification in project management is a plus.
